This notice explains how TornBox Ltd may collect, use and protect footage, photographs and audio recordings when we film events, interviews, promotional content, social media content, documentaries, corporate videos, television programmes, films or other productions.

Who we are
TornBox Ltd
TornBox Ltd produces video, audio, social media, promotional, documentary, corporate and broadcast-style content. Depending on the project, TornBox Ltd may act as the organisation deciding how footage is used, or as a production supplier working on behalf of a client.
Where we are working for a client, that client may also have their own privacy notice, consent process or safeguarding requirements. We will follow agreed project instructions and apply our own reasonable standards when handling footage.
What we collect
Images, video, audio and related details
When filming, we may collect personal data because people can be identified from their image, voice, name, role, location, clothing, badge, performance or contribution.
Audio
Voice and sound
Spoken contributions, interviews, ambient sound, performance audio and other recorded sound captured during filming.
Context
Names and roles
Names, job titles, organisation names, social media handles, venue details or other information provided for captions or credits.
Records
Consent information
Where relevant, we may keep signed forms, digital confirmations, verbal consent recordings or notes showing how consent was obtained.
Why we use it
Creating, editing, promoting and delivering content
We may use footage, photographs and audio to create, edit, publish, promote, archive, pitch, license or distribute content. This may include client videos, social media clips, websites, internal communications, showreels, event coverage, broadcast pitches, documentaries, podcasts, television programmes, films and promotional campaigns.
We only use footage for purposes connected to the production, promotion, delivery or agreed future use of the project, unless we have a separate lawful reason to use it in another way.

How we justify using personal data
Under UK data protection law, we need a lawful basis for using personal data. Depending on the project, our lawful basis may include legitimate interests, consent, contractual necessity or legal obligation.
Legitimate interests
Event and production filming
For many events, public-facing activities, general filming environments and promotional productions, we may rely on legitimate interests where filming is fair, proportionate and reasonably expected.
Consent
Featured contributors
We may ask for consent where someone is interviewed, featured prominently, gives a personal contribution, appears in a sensitive context, or where the project requires formal permission.
Contracts
Commissioned work
Where we are filming commissioned work, we may process footage because it is necessary to provide the agreed production service.
If you are unsure whether you or your child may be filmed, please speak to the event organiser, client contact or TornBox Ltd before filming begins where possible.
Under 18s
Filming children and young people
TornBox Ltd applies extra care when filming children and young people. Under 18s may be captured in different ways depending on the setting, such as a public event, school or community activity, performance, interview, crowd scene or background shot.
Consent and blurring
Where an under 18 is clearly featured
Where an under 18 is intended to be a clear subject of the video, such as an interviewee, performer, presenter, case study participant or featured contributor, we will normally require appropriate consent from a parent, guardian, carer, school, organisation or responsible adult before using identifiable footage.
With consent
Identifiable use may be allowed
Identifiable footage may be used for the agreed purpose, subject to the consent given, project requirements and safeguarding checks.
Without consent
Blurring or removal will occur where needed
Where consent has not been given, withdrawn, refused or cannot reasonably be confirmed, TornBox Ltd will not knowingly use identifiable footage of that under 18. If they appear in usable footage, blurring, cropping, muting, editing out or another protective measure will be applied where appropriate.
Background filming
Incidental appearance
At public or busy events, under 18s may appear incidentally in the background. Where the footage is general crowd coverage and the under 18 is not the focus, we will still consider whether use is fair, proportionate and low risk. If there is any concern, we may blur, crop or remove the footage.
Safeguarding
Sensitive situations
We will take particular care if filming could reveal sensitive information about a child, such as their location, school, health, family circumstances, support needs, safeguarding status or involvement in a sensitive activity. In those cases, we may decide not to film, not to publish, or to use anonymisation measures even where wider event filming is taking place.
Identifying details
Names and personal information
We will avoid publishing a child’s full name, contact details, school, address or other unnecessary identifying information unless there is a clear reason, appropriate permission and suitable safeguards.

Where footage may appear
Depending on the project, footage, images or audio may be used in one or more of the following places:
Web
TornBox or client websites
Social
Social media platforms, including short-form video platforms
Pitching
Broadcast pitches, screeners, showreels or distributor submissions
TV and film
Television programmes, film projects, documentaries, trailers or related promotional material
Events
Event films, promotional edits, highlight reels or internal videos
Marketing
Advertising, press, publicity or educational materials
Archive
Archived project material, backups or production records
Once content is published online, broadcast, screened, shown publicly or shared with third parties, it may be copied, reshared or stored by others outside TornBox Ltd’s direct control. We will take reasonable care before publication, especially where people are clearly identifiable.
Storage and retention
How we store and keep footage
We store production files, working edits, exports, consent records and project materials using appropriate technical and organisational measures. Access is limited to people who need it for production, editing, review, delivery, legal, insurance, client, archival or rights-management purposes.
We may keep footage for as long as needed for the relevant project, including future edits, archive use, rights management, client records, legal claims, portfolio use or distribution opportunities. Where footage is no longer needed, we may delete, archive or anonymise it.
Your rights
Your rights and choices
You may have rights under UK data protection law, including the right to ask for access to your personal data, correction, deletion, restriction, objection, portability or withdrawal of consent where consent is the lawful basis being used.
If you object to being filmed, or you do not want footage of you or your child to be used, please tell the TornBox Ltd team or the event organiser as early as possible. We will consider the request and take reasonable steps, which may include avoiding filming, editing footage, blurring, cropping, muting or not using a particular shot.
If footage has already been published, broadcast, screened or shared, we can consider future removal or editing where possible, but we may not be able to fully control material already printed, broadcast, downloaded, copied, reposted or circulated by others.
